6 Tricks for Using Asana Like a Pro

We aren’t short on options when it comes to…well, anything…these days. And the tools we use in our business are no different. 

Yes, there may be TONS of things you want to test out, including project management tools — from Trello, to click up to Monday.com — but not everything is going to work well in your business and be a worthwhile investment of your time. 

Believe me, I’ve had my fair share of tests. But I can say that because I’ve stuck with Asana for the last four years…it freakin’ works, people. 

I’ve used it as a team of one, and I use it now with my YouTube production agency with over 20+ people inside… so it can definitely grow with you. And in my years of using it in this capacity, I’ve learned a thing or two about overcoming the learning curve that comes with it.

Pricing options

The ONLY reason I have the paid version of Asana is that we hit capacity at how many users could be on our workspace. Otherwise, I would have the free version because that’s how comprehensive it truly is. 

And if you’re a team of under 15 people (including people you would invite to join your workspace, like clients) then you can totally get away with using the free version until your business grows to hit the maximum user limit. 

Project options

Another thing I love about Asana is the variety of options you have available to view and manage your projects. You can choose from

  • A list view (think of it like the overarching to-do list)

  • A calendar view

  • A board view (you can organize tasks into different lists)

And the best part is that you can switch between these as you please! 

Managing projects

Within Asana workspaces, you can have different projects to keep things a bit more (okay, a lot more) organized. 

We have one agency project per client, which is where we file all our client’s workflows, and where clients can access their project details and info (and they can’t access anything but that — Asana allows you to change user permissions). 

We have a marketing team project where all our marketing efforts are homed like my YouTube process, our launching workflows, and an overall marketing plan for year-round events, launches, and workshops. 

And then there’s the business hub project where I can keep all my business shortcuts like my mission and vision, brand colors, core values, courses I have, and any other important info. 

Other shortcuts I love

One of my favorite things is to create categorized lists! That’s how my YouTube workflow is run. Check out this week’s video at the 4:54 timestamp if you want a visual representation of how I do this. 

In fact, there are A LOT of shortcuts available inside Asana, and all you need to do is hit CMD / - to see them all (and make your life easier).

You can also make your boards and projects as pretty, color-coded, and as organized as you’d like! If you’re a visual learner/worker, there’s really no better project management system than Asana. 

I even use it in my personal life

No joke. My husband and I made a master packing list for vacation 3 years ago, and we categorized it so when we went on our next one, it was MUCH easier to get everything together (and we had fewer meltdowns, too — toddlers and parents included).

We’ve used it every single year since, and I never have to start a packing list from scratch. We just make edits as needed, and we’re on our way!
